One of the more complex aspects of moving is successfully relocating IT systems and restarting and testing IT services. While these tasks are complex, they don’t have to be difficult – if you plan and prepare correctly and consult with experts who can help smooth your path.
Rely on Your IT Services Provider
Relocating IT is more than just a physical moving task; it also offers an excellent opportunity to assess your existing systems and services to make sure they still fit your business needs. Talk with your IT services provider about the following:
- Replacing rather than moving assets. For example, why bother to move that old server if it’s almost time to get a new one? It’s always a better idea to keep your server upgrade project separate from your move, preferably by doing the server upgrade before you move.
- Considering Internet service upgrades. Take stock of the applications you’re using, the number of users, your phone system and your company’s projected growth. Have your bandwidth needs changed? Will your old provider be available in the new location, or will you need to select a new one? Remember, new fiber connections can come with installation delays of 60-90 days, so schedule Internet service as early in the process as you can.
- Planning for problems. There’s always the possibility that some critical piece of equipment won’t work after the move. That’s not likely to happen, but it’s better to be prepared, so you can minimize downtime in the event that it does. Notify vendors in advance of your move so they can be ready with repairs or replacements, and make sure you have insurance coverage for moving IT equipment.
- Completing backups for critical data and systems before the move.
Don’t Neglect Your Network
You should also discuss your network with your IT services provider. Be sure to think through everything you’ll need to connect and power your IT in the new location, including the following:
- Cabling for both wired and wireless networks
- Furniture panel outlets and ports
- Switches for devices, phones and wireless access points
- Professional-grade firewall for security, reporting, updates and backups
- Phone communications / VoIP
